Minutes – Church in Conference
September 20, 2009
Sanctuary, following the 10:50 am Worship Service
Moderator, Cam Zachry, called the meeting to order at 12:20 pm. A quorum was present.
Church Clerk, Jeff LeForce, gave the membership report. No questions.
Church Treasurer, Bill Livingstone, gave the financial reports for June, July and August. August shows a shortfall in contributions. Please continue to be faithful in giving. The audit has been completed and the auditors were complimentary of our procedures and practices. A full report from them will be available in mid-October. If you would like a copy, please contact Gene Potts in the Financial Office. No questions.
Baptist General Convention of Texas Messengers to Annual Meeting
- The following people wish to be messengers to the BGCT Annual Meeting 2009:

- A motion was made to accept these people as messengers and the motion received a second.
- No discussion
- The motion was approved with no opposition.
Resolution Regarding Additional Messengers
- The following resolution was read into record:
Resolved:
Whereas the Baptist General Convention of Texas allows the Church to send up to 25 messengers to its annual meeting; those messengers must be voted on by the church; as of the date of this Church in Conference the Church has not filled the 25 positions; and, no additional conferences are scheduled between now and the date of the annual meeting, the Church authorizes John Gilley, in his role as Chairman of the Deacons, David Harper, in his role as President of the Trustees, and Miller Cunningham, in his role as Senior Pastor - Leadership to jointly approve the addition of messengers to the 2009 meeting without another church vote.
- A motion was made to accept the resolution and the motion received a second.
- Discussion:
- One question: Can any volunteer be a messenger?
- Rodney Schell answered: Yes. The notice was in the Connect for several weeks that anyone interested in being a messenger should call Kathie Smith. The notice will continue to be in the Connect for several more weeks or until the allotment of 25 messengers is filled. Anyone responding after this conference will be approved using the procedure in this resolution.
- No further discussion
- One question: Can any volunteer be a messenger?
- The motion was approved with no opposition.
Other Business
- Question was raised about when Church in Conferences are scheduled. The schedule is found in the Constitution. Quarterly Conferences where business is brought forth are the first Sunday in June, September, December and March unless a conflict in schedule arises. If such a conflict arises, the church is notified in advance of the change in date. Reporting only Conferences are held the first Wednesday of July, August, October, November, January, February, April and May unless a conflict in schedule arises at which time the church is notified in advance.
- Concern was expressed by several people that a resolution from the June Church in Conference was not followed that called for Conference agendas to be posted approximately a week in advance and that copies of Conference materials would be available for distribution the week prior to the Church in Conference. (The Conference Agenda was posted five days prior to the scheduled Conference and hard copies of the agenda were not made available the Sunday prior.)
- The Moderator stated he was not familiar with the specific wording in the motion from June, but was sure that any delay was for good cause and that every effort would be made to meet the deadline in the future.
- Upon additional comments expressing concern for the delay in posting the Agenda, the Moderator stated that the concern had been duly noted and that the continued expression of sentiment did not constitute new business and that no further conversation would be entertained.
- Miller Cunningham stood and addressed the concerns. He stated that the intent of the motion in June was to notify the congregation in advance and that was done. He apologized for the missed deadline and accepted responsibility for the delay, but assured those who had issue with the two day delay that every effort would be made to distribute the information on time in the future.
- Copy of Motion from June 2009: Motion is made to have the agenda, minutes and any supporting documents made available via Eblast; on the website; and in printed form at Connection Centers and locations throughout the church, approximately one week prior to a regularly scheduled Church in Conference.
- No new motions were brought
